Is it possible to get the leads generated in Facebook automatically to an email address or WhatsApp instead of downloading the leads directly from Meta? How to automate lead retrieval from Meta into Email and WhatsApp?

Yes, it is possible. Facebook Lead Ads can automatically send new leads to your email, WhatsApp, CRM, or other systems without manually downloading them.

You can automate this using tools such as Zapier (https://zapier.com/), Make (https://www.make.com/), or direct CRM integrations. Once connected, every new lead submitted through a Facebook Lead Form can trigger:

    • An email notification to your team.
    • A WhatsApp message to your sales team.
    • Automatic lead creation in your CRM.
    • Instant follow-up emails or messages to the lead.

This helps businesses respond faster and ensures no leads are missed. For most companies, integrating Facebook Lead Ads with a CRM or automation platform is the best way to manage leads efficiently.

As an SEO analyst working in Dubai, I recently dealt with this exact scenario. We have a dedicated social media marketing team at our agency, and one of our clients was frustrated because their team had to manually download leads from Meta every few hours. They wanted every new lead to instantly reach their sales team through email and WhatsApp so that no opportunity would be missed. After helping them set it up, here's the step-by-step process I typically recommend:

Step 1: Create Your Facebook Lead Form

First, create your Lead Generation campaign inside Meta Ads Manager. Choose Lead Generation as your campaign objective. Create an Instant Form and add the fields you want to collect, such as:

    • Name

    • Phone Number

    • Email Address

    • Company Name (if applicable)

Publish the form and make sure it is connected to the correct Facebook Page.

Step 2: Choose an Automation Platform

You'll need a tool that can automatically retrieve leads from Meta. Popular options include:

    • Zapier

    • Make (formerly Integromat)

    • LeadsBridge

    • Privyr

For most small and medium-sized businesses, I recommend Zapier or Make because they're easy to set up and don't require coding.

Step 3: Connect Meta Lead Ads

    Inside your automation platform:

    • Create a new automation workflow.

    • Select Facebook Lead Ads as the trigger.

    • Connect your Facebook account.

    Select:

    • Facebook Page

    • Lead Form

Test the connection by pulling a sample lead. At this point, the automation platform can detect every new lead that comes through your Facebook form.

Step 4: Set Up Email Notifications

Now configure where the lead should be sent.

    • Add an Email action.

    • Connect Gmail or Outlook.

    • Create a notification template.

    Example:

    • Subject: New Facebook Lead Received

    • Name: {{Name}}

    • Phone: {{Phone}}

    • Email: {{Email}}

    • Campaign: {{Campaign Name}}

Every new lead will now be delivered automatically to your inbox.

Step 5: Set Up WhatsApp Notifications

This is the part many Dubai businesses prefer because sales teams often monitor WhatsApp more closely than email. You'll need a WhatsApp Business API, a provider such as:

    • WATI

    • Interakt

    • AiSensy

    • Twilio

    • 360dialog

    Then:

    • Add a WhatsApp action in Zapier or Make.

    • Connect your WhatsApp provider.

    • Create a notification template.

    Example:

    • New Lead Received

    • Name: John Smith

    • Phone: +971xxxxxxxx

    • Campaign: Property Investment Dubai

Whenever a lead is generated, the message is sent instantly.

Step 6: Create a Google Sheets Backup

This is something I always recommend. Add another automation step: Meta Lead Ads to Google Sheets. Now, each new lead will automatically populate a spreadsheet. Benefits of this step include:

    • Backup of all leads

    • Easy reporting

    • Easier troubleshooting

    • Quick access for sales teams

Step 7: Connect a CRM (Recommended)

If you're generating leads consistently, connect a CRM such as:

    • HubSpot

    • Zoho CRM

    • Salesforce

    • Pipedrive

The workflow becomes Meta Lead Form to CRM to Email to WhatsApp to Sales Team. This allows automatic lead assignment, follow-ups and pipeline tracking without any hiccups.

    Step 8: Test Everything

    Before going live:

    • Submit a test lead.

    • Verify the email arrives.

    • Verify WhatsApp notifications are sent.

    • Confirm the lead appears in Google Sheets.

    • Confirm the lead enters your CRM.

Never skip testing as a single misconfigured field can prevent lead delivery.

    The Setup I Usually Recommend

For most clients, especially in Dubai's real estate, education, healthcare, and professional services sectors, I recommend the following:

Meta Lead Form to Zapier/Make to Google Sheets to CRM to Email Alert to WhatsApp Alert

    This setup gives you:

    • Instant lead notifications

    • Faster response times

    • Lead backup storage

    • CRM tracking

    • Minimal manual work

In the case of our client, we implemented this workflow and reduced lead response times from several hours to just a few minutes. That alone had a noticeable impact on their conversion rate because their sales team could engage prospects while interest was still high. For lead generation campaigns, speed is often one of the biggest factors in turning inquiries into paying customers.

Facebook Ads and Instagram Ads are some of the best ways to generate leads for businesses. You create campaigns, prepay the ad budget and have your ads running targeting your audience. When any Facebook or Instagram users submit their interest in your ad, their contact information is saved in the Lead form within Meta. You can download these leads from the lead forms at any time.

One of the limitations of this system is that you won't know instantly when the leads are received in the Meta lead forms. The leads will be saved online until you retrieve it by downloading. So, your sales team will be waiting for the leads until you download and share them.

It will be very helpful if the leads can be shared by email or as a WhatsApp message to your sales team instantly. They can contact the potential client when the lead is still "hot". Unfortunately, Meta does not instantly forward the leads to Email or WhatsApp automatically.

How to automate lead delivery to email or WhatsApp?

There are a few options to automatically retrieve leads from Facebook and Instagram Ads. See the best options below:

    1. Use "Nexus Bridge" by SpiderWorks. The "Nexus Bridge" is a Lead delivery automation system, which can be integrated with your Meta Business account to automatically fetch Facebook leads and deliver to your choice of channels. Leads can be delivered from Facebook to Email, WhatsApp, Google Forms or your CRM solutions. It is one of the easiest and cheapest solutions for lead delivery automation. Also, this tool is available free of cost to all digital marketing clients of SpiderWorks.

    2. Use automation tools like Zapier, Pabbly, etc., to connect with Meta Ad platforms and retrieve leads into Email or WhatsApp. These tools are great to automate your lead retrieval and delivery; however, they are generally expensive. In addition to paying for your campaign budget, you will have to pay a good amount just for lead delivery to your preferred channels, like Email and WhatsApp.

    3. Connect via CRM. Most popular CRMs like Zoho, Omnisell, Salesforce, etc., have the capability to integrate with Meta Ad platforms and retrieve leads from Meta. Even though the CRMs cannot deliver leads from Meta to Email or WhatsApp, most of the CRMs have the capability to deliver leads from their database to Email. So, if you like to get the leads from Meta to Email, the workflow will be, first get leads to the CRM and then use the CRM to deliver leads to email or WhatsApp.

If you are running a business in the UAE and advertise using Google, Facebook or Instagram, you can use Nexus Bridge to retrieve and automate lead flow. Also, you can use our custom-developed CRM called Omnisell CRM to automate Lead Management.
